AZACS PTA OPEN BOARD POSITIONS
for the 2020-2021 school year
AZACS PTA EXECUTIVE BOARD MEMBER POSITION DESCRIPTIONS
AZACS PTA President
The president sets meeting agenda and presides at all meetings of the PTA and the Executive Board. Serve on all committees and coordinates the work of the PTA Officers and Committees. Approves and sign all contracts. Oversee the general Budget. Acts as the AZACS PTA liaison to the AZACS Administration. Responsible reviewing all financials, audits and required paperwork in relation to all AZACS PTA events and fundraisers.
*This is a hefty time commitment. Ideally this person should have some flexibility with their communications.
AZACS PTA Vice-President
Serve as an aide to the President and as a co-President (hopefully in anticipation of assuming the Presidency in the future). Works with President to prepare meeting agendas and fill-in for President at AZACS PTA meetings as needed when President cannot attend. Oversees the subcommittees along side the President.
AZACS PTA Treasurer
Have charge of all AZACS PTA funds. Keep an accurate account of all receipts and expenditures in. Track, account for, and deposit all income related to all fundraisers. Expend money in accordance with the budget, issuing checks and petty cash. Present Treasurer Report and Profit and Loss Report at each meeting of the association and executive board. File all required financial reports with AZ State PTA. File all required taxes with the IRS. Act as Chair to the Budget Committee. Gather audit report documents and ensure accounts audited annually.
*Must be very detail oriented and have internet access.
AZACS PTA Secretary
Record, and file minutes of AZACS PTA General and Board Meetings. Maintain files of official documents including the By-Laws, Standing Rules and Annual Records. Maintain Board, Committee and Membership lists. File all AZACS PTA documents with District/State Offices.
* Must be able to attend nearly all monthly AZACS PTA association meetings & Executive Board meetings!
AZACS PTA COMMITTEE LEAD MEMBER POSITION DESCRIPTIONS
AZACS PTA Early Learning Center/Elementary School/Middle-High School/Staff Liaisons
Acts as Representatives for specified grade levels. Collaborates with other AZACS PTA board members, teachers and administrators to identify how parents can get more involved at school. Helps to gather intel on needs of AZACS Staff and how AZACS PTA can assist AZACS Staff and Students. Promotes AZACS PTA goals, AZACS PTA membership and AZACS PTA activities. Works directly with the AZACS PTA president and AZACS ADMIN to build stronger family-school partnerships to support student success.
AZACS PTA Fundraising Committee Lead
Oversee the individual fundraisers and/or chairmen/committees. Ensure that fundraising activities are reviewed, approved, coordinated and scheduled appropriately. Oversee and Co-chair (when necessary) any and all programs and events that involve fundraising. Act as the primary liaison between the Fundraising Committee Chairs and the Executive Board Treasurer. Report on fundraising activities at all AZACS PTA meetings. Work closely with AZACS PTA Treasurer.
AZACS PTA Membership Coordinator
Works to plan the annual membership campaign. The membership coordinator is responsible for creating and implementing a membership plan, promoting membership throughout the year, collecting dues, and distributing membership cards.
AZACS PTA Communication Coordinator
Acts as webmaster for AZACS PTA and manages the website which includes posting information, dates, program summaries, forms, links, newsletters, budgets, etc. Draft and send monthly newsletters. Maintain the master AZACS PTA Calendar. Create and send mass e-mail requests as requested by AZACS PTA President. Maintain AZACS PTA social media accounts (Facebook and Instagram). Check the AZACS PTA g-mail email account regularly and forward to appropriate individuals.
*Works closely with AZACS PTA President and Secretary. Must have internet access and feel comfortable with computers and social media.
AZACS PTA Volunteer Coordinator
Helps explain the AZACS PTA volunteer process to interested parents. Provides necessary training and ensures fingerprint clearances are obtained when necessary. Works with the AZACS PTA President, AZACS PTA ADMIN and Staff to coordinate volunteer assignments at the school to support staff and student success. Collaborates with other AZACS PTA board members, teachers and administrators to assess and identify how parents/guardians and community members can get more involved at school as volunteers. Oversees volunteer recruitment, training and assignments. Promotes AZACS PTA goals, membership and activities as a AZACS PTA committee chairman or officer.
